Procure · Pillar II

Better contracts start before the first mower arrives.

Vague phrases like 'as required' and 'maintain to a good standard' create poor procurement and contract-management outcomes. Clear information up front means a fairer process and a contract that actually works.

We support organisations across the Midlands and selected areas of central and eastern England, extending into Yorkshire.

This is our intended service area, not a claim of existing clients or contractors in every location. Enquiries outside our main area are welcome for individual consideration.

The client always retains the final contractor appointment decision. Complex, high-value or regulated public-sector procurements may require additional specialist procurement or legal support.

Deliverables and pricing basis
Grounds Specification starts from £395, based on site size, number of maintenance areas, complexity and specification detail, for the agreed written maintenance scope, standards, frequencies, responsibilities and pricing instructions. Grounds Procurement starts from £495, based on site size, procurement complexity, number of contractors or tender submissions, tender requirements and support needed. These are separate services; a written quotation before work begins defines the included outputs, exclusions and fee. Any additional work and costs must be agreed before proceeding.
Visits, optional work and exclusions
Site surveys, mapping, coordinated bidder visits, bidder questions, extra tender rounds and mobilisation assistance must be expressly scoped; do not assume they are included in a starting price. Ongoing management is a separate service. Complex or regulated procurements may need specialist procurement or legal support; this service does not provide legal sign-off.
Your responsibilities
Provide accurate site information, existing documents, budgets, procurement rules and decision dates. Arrange access where agreed, approve the scope and evaluation criteria, and identify an authorised decision-maker. The client retains the final appointment and contract-execution decisions.
VAT, travel and total cost
The VAT treatment of the advertised prices and the travel-expense basis have not yet been published. Do not assume VAT or travel is included or excluded. Request a written total, stating applicable VAT and any agreed travel or other expenses, before instructing chargeable work.
Turnaround and starting work
No standard turnaround is currently published. Agree availability, required information, visit dates where relevant, and delivery dates in writing before work starts. Submitting a form requests a discussion or review; it does not take payment or confirm a booking.

The written scope must resolve the outstanding arrangements rather than imply a commitment not stated here. Ask us to confirm your scope and quote, or read our Terms.

Grounds Maintenance Contract Renewals

A contract renewal is an opportunity to review service standards, reassess costs and make sure the specification still reflects what your organisation needs.

We help clients plan ahead, review existing arrangements, prepare clear tender documentation, assess suitable contractors and manage the procurement process through to appointment.

Our approach helps avoid rushed renewals, outdated specifications and decisions made without comparable information.

  1. 01. Review the current contract, specification and performance.
  2. 02. Establish the renewal date and procurement timetable.
  3. 03. Identify specification gaps and define future requirements.
  4. 04. Prepare tender documents and pricing schedules.
  5. 05. Identify and assess suitable contractors.
  6. 06. Manage tender invitations, queries and submissions.
  7. 07. Evaluate bids against agreed criteria.
  8. 08. Support appointment and mobilisation.
  9. 09. Establish performance measures and a future review schedule.

Contractor network registration is not a recommendation or guarantee. Suitability is assessed for each procurement, material relationships are disclosed and the client retains the appointment decision.

Illustrative deliverables

See what a useful record can look like.

Explore an example of the structure, reasoning and next steps behind our work. Every sample is fictional, not a client report, case study or evidence of achieved results.

Examples are extracts, not full deliverables or templates for use without site-specific review. The work you receive depends on the service and scope agreed before we start.

ActivityIllustrative requirementBid-comparison check
Amenity grass22 planned visits between March and November, including edge trimming; agree the finish and arrangements for weather-related changes.Does each price include all 22 visits and edge trimming? Record exclusions and any different proposed schedule.
Boundary hedgesOne planned cut to the marked hedge areas in an agreed seasonal window, subject to wildlife checks; remove arisings. Are the same hedge areas and waste removal included? Clarify any access or timing assumptions.
Autumn leaf clearanceFour planned clearances of the marked shared paths and entrances; agree how additional visits would be authorised.Separate the four included visits from any optional additional visits, so the prices cover the same work.

The decision this supports

Resolve scope differences before comparing prices. Consider relevant capability, compliance and the agreed evaluation criteria, not price alone; the client retains the appointment decision.

Final quantities, standards and frequencies require site-specific agreement. A full specification, tender evaluation and mobilisation support are separate outputs, provided only where included in the agreed commission. This is not a procurement or legal compliance template.

Pricing questions

What determines specification and procurement fees?

Grounds Specification starts from £395, depending on site size, number of maintenance areas, complexity and specification detail. Grounds Procurement starts from £495, depending on site size, procurement complexity, number of contractors or submissions, tender requirements and the support needed. Each service has its own agreed scope and written quotation.

When will I receive a confirmed fee?

Before chargeable work begins, we discuss your requirements and provide a written quotation confirming scope, deliverables, exclusions and the agreed fee, including applicable VAT and any agreed expenses. Submitting a form does not take payment or commit you to additional work.

Can additional work increase the cost?

Only if you agree the additional scope and associated costs before we proceed. We do not treat a starting price as a universal fee, or automatically add work outside the fixed £79 basic review.
